Our client is a highly successful boutique advertising agency located in the inner west of Sydney. They provide a full range of marketing and advertising services to an enviable list of high profile clients. Having experienced amazing growth in the last few years they wish to appoint a marketing production executive. Your primary role is to provide a direct interface between the agency’s clients, the internal design studio and external suppliers. This role is responsible for the seamless management of the agency’s significant production schedule. You will oversee the internal management of the agency’s production schedule, including deadline management and the through flow of jobs into and out of the agency.
Your primary duties will include:
Close liaison with the agency CEO, account services executives and clients on a daily basis to ascertain briefs, requirements and scheduling of the agency’s significant production workload.
Once jobs are known they are to be placed into a master production schedule to be updated as required and communicated to the studio and other personnel. This will involve management of the agencies master work in progress schedule and co-ordination of a weekly work in progress meeting involving all agency personnel.
The management of the production requirements from client brief to completion is a key accountability of this role. This will include close liaison with the studio on a daily basis to ensure that creative execution is commensurate with client’s briefs and deadlines. Prioritisation of the studios work on a daily basis is a core requirement.
Provide assistance to the studio with the preparation and editing of copy and proofing as required.
Prepare quotations for clients for production and print requirements and liaise with external suppliers re: pricing and fulfillment and manage the agency’s centralised quoting system.
Meet with clients on a regular basis to provide account servicing and take briefs. This may involve travel to Blacktown, Castle Towers, Canberra and Melbourne.
Fulfill administration tasks within the agency related to the positions requirements. This will include keeping of records related to production jobs, invoicing, accounts preparation and the preparation of briefs to clients.
Preparation of copy, pitches, presentations and reports within the agency that may be required to service existing business or associated with the acquisition of new business.
To be considered for this role you will have:
Minimum of 5 years experience working in a similar role, preferably for a smaller agency or client side.
Excellent interpersonal skills including strong oral and written communication.
The ability to work under pressure and to deadline
Ability to multi task and prioritize is deemed equally important as you will be required to co-ordinate multiple jobs and client requirements on a day to day basis.
The role requires a fiscally alert individual who can ensure tight budgets are adhered to at all times.
The candidate will have excellent computer skills and be proficient in Word, PowerPoint and Excel as a minimum.
Stable work history with excellent referees.
As well as the above your duties will include:
Copy preparation
Studio brief preparation
Photo shoot co-ordination
Proofing and other support as required
Periodic liaising with clients on matters pertaining to the preparation of briefs, receipt of copy and approvals and or the delivery of print material, deadlines and proofing.
To be considered for this role you will have:
A minimum of two years experience performing similar duties in an Advertising Agency or Marketing Department
A Can Do attitude; you’re the sort of person who pro-actively solves problems
Excellent interpersonal skills including strong oral and written communication with excellent spelling and grammar skills
The ability to work under pressure and to deadline is essential
The ability to multi task and prioritize is critical as you will be required to co-ordinate multiple jobs on a day to day basis; no 2 days will be the same!
Excellent attention to detail
A willingness to learn and assume responsibility in a mid-size agency.
Excellent computer skills and be proficient in word, Power Point and Excel as a minimum.
Ideally the successful candidate will have worked as marketing or promotions assistant and has a desire to move within an Advertising Agency or may have 1st hand experience in a small agency or production house and be looking to grow!
